Position: Mentoring Services Assistant

Location: Philadelphia, PA  (currently remote, work-from-home)

Job Status: FT, non-exempt  

Reports to: Executive Director, MENTOR Independence Region 

Effective Date: April 2021 

Salary: 32-36K/yr



MENTOR Independence Region (MIR), a department of Big Brothers Big Sisters Independence, shares the mission to ignite the power and promise of youth and close the mentoring gap, by creating and supporting one-to-one mentoring relationships and strengthening the quality of the mentoring field.  MIR seeks to strengthen relationship-based support for all youth through formal and informal strategies.  MIR provides services to mentoring programs, nonprofits, educational institutions and corporations in service of increasing the quality and quantity of support to young people across Eastern Pennsylvania.  MIR seeks a Mentoring Services Specialist to implement several key objectives. 



Reporting to the Executive Director, MIR, the Mentoring Services Specialist provides support to the MENTOR Independence Region team.  They are responsible for managing outreach to mentoring programs, administering several key database systems, and providing operational and logistical support to efforts that directly affect the MENTOR Team’s ability to advance quality mentoring in the region.  The Mentoring Services Specialist will be expected to proactively and intentionally manage various processes that lead to efficient delivery of high quality services and satisfied clients.  

Candidates with a strong connection to the community that MIR and BBBSI serves and the Southeastern Pennsylvania/Southern New Jersey area are given preferential consideration. Occasional travel to events is required, as is some nights and weekend work. 


Outreach and Mentoring Connector Administration 

  1. Administer the Mentoring Connector including onboarding organizations, maintenance, and follow up
  2. Build and execute an outreach work plan to expand the Network and illustrate onramps to paid services using tools including:
  • Salesforce Database
  • Campaign Monitor
  • Mentoring Connector
  • Organizational Partners
  • Social Media

National Mentoring Resource Center Portal Administration  

  1. Facilitate data entry for incoming, current, and ending NMRC Technical Assistance (TA) engagements in the NMRC Portal
  2. Coordinate logistics for initial outreach meetings
  3. Coordinate logistics for TA Requests that are finalizing, including timeline, collecting required reporting information
  4. Overseeing monthly TA reporting by consultants 

Operational support for events and trainings 

  1. Scheduling Eventbrites, Zoom meetings, and calendaring 
  2. Coordinating event space reservation, food orders, etc. and payments
  3. Entering data into Salesforce and other needed systems
  4. Creating certificates of completion and sending Thank You emails

Administrative support for Consultant Model and Earned Income Engagements 

  1. Draft Contracts for Consultants working on behalf of MENTOR IR (based on template)
  2. Draft Proposals and Letters of Agreement for Clients (based on templates)
  3. Coordinate and draft outgoing invoices
  4. Coordinate incoming invoices


Academic Requirements:  Minimum- High School Diploma and 5-7 years of work experience in an administrative or customer service function OR Bachelor’s Degree and 1-3 years of experience. 


Professional requirements: Minimum experience as described above, ideally with some experience in nonprofit/human services setting or customer services.  Applicant must have the ability to work with diverse constituents.  The successful candidate must be detail-oriented, independently motivated, flexible and responsive to new processes.  Applicant must possess strong interpersonal skills, organizational skills, and a customer service focus. Proficiency in Microsoft 365 and experience with data bases (salesforce preferred).  Must have the ability to periodically attend meetings and/or events in the greater Philadelphia Region.
