Position: Program Leadership Assistant

Location: Philadelphia, PA

Our mission is to create and support one-to-one mentoring relationships that ignite the power and promise of youth, while working collaboratively to strengthen the quality of the mentoring field and close the mentoring gap.


BBBSI seeks a Program Leadership Assistant to assist Program Leadership with various tasks on a temporary basis, with the potential to convert to a full-time position if position is approved.  This position will report to the VP, Program and support both the Directors of School-based and Community-based Mentoring, dividing their time evenly assisting the two teams.  The position will be full time based in our Center City office location and does not require a car.



Match Activity support

  1. Support planning and execution of activities held for mentoring matches which can include creating email invitations, distributing invitations, distributing tickets by computer or mail, and ensuring donors and partners are thanked after the event by collecting notes from mentoring matches
  2. Coordinate with partners and/or vendors to assist in planning and execution of match activities
  3. Monitor and update RSVP lists, confirm attendance the week of the event notifying wait-list matches if they are able to attend, and communicate to partners regarding attendance

Program support

  1. Process paperwork for volunteers and/or youth in accordance with enrollment processes in order to facilitate school-based mentoring matches and programs
  2. Assist in coverage of programs by communicating and tracking logistics and preparing activities including utilizing existing resources and copying resources to distribute to matches
  3. Coordinate logistics for bus services for School-based programs

Administrative support

  1. Assist with administrative tasks for community and school based mentoring teams to include computer work, mailing or copying
  2. Scan documents and background checks to assist in enrolling volunteers
  3. Update Salesforce database with grant information for matches
  4. Assist with ongoing projects as assigned by program leadership



Academic: High school diploma required; Associates degree preferred


Professional: 2-4 years administrative or coordinator experience.  Must be a self-starter, independent worker who can complete tasks in a timely manner and juggle multiple projects.  Must possess professional written and verbal communication skills. Must have proficient knowledge of Microsoft Office software packages and possess the ability to effectively utilize BBBSI’s internal database systems for tracking and recording information.
