POSITION SUMMARY

Reporting to the Director of Individual & Institutional Giving, the Donor Relations & Stewardship Coordinator supports all stewardship and prospect engagement work related to the BBBSI’s donors.  They are responsible for planning, reviewing, completing, reporting on, and contributing to a portfolio of donor and prospect relations projects and programs to ensure the continued success and growth of the BBBSI’s fundraising efforts. In all relevant areas, the Coordinator will be expected to act proactively and critically, analyze, evaluate, and find innovative ways to improve processes and procedures, documenting modifications as needed.

 

Candidates with a strong connection to the community that BBBS IR serves and the Southeastern Pennsylvania/Southern New Jersey area are given preferential consideration. Occasional travel to events is required, as is some nights and weekend work.

 

JOB RESPONSIBILITIES    

Stewardship

  1. Develop strategic and tactical plan for donor stewardship and recognition.
  2. Partner closely with Advancement team members to perform a broad range of stewardship functions related to high net worth individuals including writing correspondence on behalf of CEO and VP of Advancement, donor communications and creating necessary reporting for donors in order to build and sustain positive relationships between BBBSI and its major funders.
  3. Plan and implement Stewardship events, including planning and creation of relevant materials to ensure best-in-class service and performance. Develop and execute on innovative stewardship solutions for donor constituency including special projects, stewardship videos, photo books, and specialized gifts.
  4. Advance the mission and vision of the Agency, ensuring integration through donor campaigns and events.

Gift Entry & Indyforce (Salesforce)

  1. Assist Advancement Specialist with data entry when needed.
  2. Monitor, track, and reconcile stewardship activity including acknowledgment letters and donor communications, maintaining current and complete records in Indyforce (Salesforce). Coordinate with other teams to ensure acknowledgment materials are entered into the database in a timely fashion.
  3. Produce and maintain metrics reports on acknowledgments and other stewardship output. Create and maintain accurate, high-level tracking documents for reporting aligned with senior leadership needs.

Donor Relations

  1. Manage the acknowledgment process including the CEO’s personalized donor correspondence. Oversee a dedicated inbox and track correspondence requests that fall outside the normal acknowledgment process; solve constituent needs by telephone, meeting with visitors, and other forms of correspondence.
  2. Create and update all letter templates and acknowledgment procedure documentation. Customize communications and actions for donors.
  3. Provide support for Signature Events.
  4. Ensure stewardship plans are followed, such that donors are engaged, informed and are well stewarded.

Donor Recognition

  1. Establish donor recognition standards for the agency and monitor compliance with the standards.
  2. Develop, analyze, and maintain innovative ways to ensure that the stewardship module of the donor database is updated and maintained accurately with both donor and beneficiary information.
  3. Assist in the timely creation and delivery of stewardship proposals and reporting for funders (major and principal donors, corporations).

 

 

JOB QUALIFICATIONS

Academic: Bachelor’s degree or a minimum of 5-7 years’ experience in donor relations and stewardship.

 

Professional: Minimum 1-3 years donor relations experience in a non-profit/human services setting. Candidate with excellent writing, proof-reading required. Graphic design experience is a plus.  Ability to work with many diverse constituencies. The successful candidate must be able to work independently, exercise sound judgment, anticipate and proactively troubleshoot and problem-solve issues related to their role. Additionally, they must have the ability to manage detailed work and projects, possess strong organizational and interpersonal skills.  Proficiency in Microsoft Office and experience with donor CRM packages required (Salesforce preferred).  Must have daily and dependable access to a car, valid driver's license, and meet State-required automobile insurance minimums.
